What is accounts payable (trade creditors) and how do you manage supplier balances?

Accounts payable—also known as trade creditors—is the total amount of money your business owes to suppliers for goods or services purchased on credit and already invoiced. It tells you how much of the cash currently in your bank account is already committed to upcoming supplier bills.

Definition

Accounts payable = total approved credit purchase invoices − total payments made to suppliers to date. Until a confirmed supplier invoice is paid in full from your cash or bank account, the remaining balance stays open as a trade payable.

Components of accounts payable and how it is calculated

When restocking inventory or buying raw materials from wholesalers, businesses frequently agree on payment terms such as 30 or 60 days rather than paying cash on delivery. Once the goods arrive and you approve the purchase invoice, the unpaid amount is recorded as a payable under that supplier contact.

To keep your supplier balances accurate, only finalized purchase documents should be counted. Purchase orders that have not yet been billed and draft purchase invoices do not represent confirmed liabilities and are excluded from accounts payable totals.

  • Approved purchase invoices: The confirmed total of supplier bills for goods received or services delivered
  • Supplier payments: Full or partial outgoing payments recorded from your cash register or bank account
  • Remaining payable balance: The net amount still owed to suppliers after subtracting all payments made

Effect on cash balance and difference from accounts receivable

While accounts receivable tracks money coming in from customers, accounts payable tracks money going out to suppliers. Missing supplier due dates can damage trade relationships and halt deliveries, whereas paying bills far too early without checking your cash position can leave you short for payroll or rent.

Healthy cash flow management means aligning your supplier payment schedule with your customer collection cycle. Tracking every due date lets you use supplier credit wisely while keeping your cash and bank accounts balanced.

Tracking purchase invoices and supplier ledgers in GiroPS

In GiroPS, approving a purchase invoice updates your product stock, recalculates weighted average cost, and adds the unpaid amount to the supplier contact balance; draft purchase invoices are never counted in any totals. Every full or partial payment you record deducts money from your chosen cash or bank account and lowers the open invoice balance.

From the supplier contact page, you can inspect open bills, monitor upcoming due dates, review partial payment history, and export a clear PDF statement of account to reconcile balances with your vendor.

Practical scenario

Example: month-end accounts payable calculation

A retail store records two approved purchase invoices from its suppliers during the month for 65,000 and 45,000 (totaling 110,000), and also has a draft purchase invoice for 15,000 awaiting verification. Before month-end, the store pays the first 65,000 bill in full and sends a partial payment of 20,000 toward the second bill (total payments: 85,000). The draft is ignored. Month-end accounts payable is 110,000 − 85,000 = 25,000 remaining on the second invoice.

Frequently Asked Questions

Do draft purchase invoices count toward accounts payable?

No. Draft purchase invoices are unconfirmed working entries. In GiroPS, only approved purchase invoices update supplier contact balances and appear in payable totals.

Can I pay a supplier invoice in several installments?

Yes. Each installment is recorded as a partial payment from your cash or bank account, immediately reducing the remaining balance owed on that specific purchase invoice.

How do I reconcile my balance if a supplier statement looks different?

Open the supplier contact card in GiroPS, generate a PDF statement of account showing all approved purchase invoices and payment dates, and compare it line by line with your vendor's ledger.
